How to Search for a Case

In this guide, we will walk you through the steps to Search for a Case in the CivicCase Application

1. Case Search Options

After logging into the CivicCase application, users may search for cases using a variety of search criteria. By using a case number, legacy system reference number, a docket number, or even a law enforcement case number, users can search and locate case records with ease.

2. Flexible Search Criteria

CivicCase also supports searching by additional criteria such as the defendant name, a social security number, or other fields.

4. The more specific the search, the more restricted the results

5. System Data may impact results accuracy

Only information listed in the record will return in the search results. This means that, while the information used to search might be correct and relevant, if has not yet been saved on a record, it will not return in the results.

6. Search Example: Person Name

In this example, we will search using the parameters of last name, comma first initial. Users may use a full or partial name, however results may vary depending on the accuracy of the search term.

7. Show Extended Results

When search results are returned by the system, ensure a comprehensive list of details are readily visible by checking the "show extended results" check Box near the top of the screen

8. Further refine results using the Keyword Search

Search Results may be refined by using the Keyword Search field, where users can enter additional information that may be listed on a person record, such as a social security number, street name from an address, or date or year of birth. Please note: If the information used in the Keyword search filter is not stored on the persons master record, the search results may not be found.

9. Viewing a Person Master Record

To view a persons full master name record, click on the arrow to the right of the search results.

10. Using the Master Record to verify Search Result

Inside of the persons Master record, users can review any additional information that may be helpful in determining whether this person is the applicable person for the search in question.

11. Person Legal Information

Inside the person Master record, users can navigate to the legal Tab to review any cases - whether open or closed - associated with the person. These legal history records will also include cases where the person may have been a victim, witness, or defendant. Whether searching using a name - as we did in this example - or by any other criteria such as case number - If the case sought is listed in the search results, click on it to open it.
